immigration authorities. If, during the processing of the taxpayer accounting card (\u0420\u041d\u041e\u041a\u041f\u041f), a person\u2019s name was translated in a certain way, all subsequent translations for submission to the migration service are required to reproduce this spelling exactly.<\/p>\n<p>In our practice, there was a case when a foreigner received a refusal of immigration permission because, in the passport translation, their name ended with the letter \u00ab\u0439\u00bb, whereas in the certificate about the code it ended with the letter \u00ab\u0438\u00bb. We promptly updated the data with the tax service using form 5\u0414\u0420, after which the migration authorities accepted the updated package without any objections.<\/p>\n<h3>The impact of transliteration changes on the validity of older certificates<\/h3>\n<p>Changes to international transliteration rules in a country of origin often lead to the fact that a new foreign passport contains a different spelling of a person\u2019s name than the old certificates of marriage or birth. In such a situation, previous Ukrainian documents do not become false, but they require documentary confirmation of the connection.<\/p>\n<p>To eliminate concerns from officials, you should apply in advance to the embassy of your country and obtain an official consular certificate stating that both spelling variants refer to the same physical person. This route is the first priority and mandatory, because courts do not consider applications without a prior attempt at out-of-court settlement.<\/p>\n<p>The duration and specific features depend on the type of authority to which the applicant applies:<\/p>\n<ul>\n<li><strong>Civil status registration departments.<\/strong> They review applications to amend civil status record entries within a period of up to three months, which may be extended by another three months in case inquiries are sent to archives.<\/li>\n<li><strong>Migration service units.<\/strong> They carry out an internal review of their own materials and replace residence permit forms when technical printing defects are identified.<\/li>\n<li><strong>Private and state notaries.<\/strong> They do not add handwritten notes to old translations; instead, they prepare a new notarized translation with the cancellation of the previous one.<\/li>\n<\/ul>\n<p>In the event of a technical error by a migration service specialist, the new form is issued without charging an additional administrative fee again, provided that the application for correction is submitted on the day the applicant receives the document.<\/p>\n<h3>Procedure for contacting civil status authorities<\/h3>\n<p>During martial law, the D\u0420\u0410\u0426\u0421 departments apply the principle of extraterritoriality, which allows a foreigner to apply to any operating unit in a territory controlled by Ukraine. To initiate the procedure, an application of the established template is submitted, along with the primary documents that confirm the correct spelling.<\/p>\n<p>In the firm\u2019s practice, there was a case when a letter was omitted in the foreigner\u2019s marriage certificate compared to the passport. An application to the district D\u0420\u0410\u0426\u0421 department referencing the primary translation made it possible to obtain a repeatedly corrected certificate without court involvement.<\/p>\n<h3>Special features of exchanging a permanent residence permit<\/h3>\n<p>According to the established government rules, identifying discrepancies in the issued residence permit obliges the foreigner to exchange the form within one month from the date the inconsistency is identified.
